Worked example · Tax practice

How a firm of tax advisers gets its meeting notes done in 5 minutes instead of 30.

Around 20 client meetings a week, each followed by notes, action points and an email setting out the next steps. Now the AI captures the meeting, with the client’s consent, and prepares everything in the practice’s template. The tax adviser reads it, fills in anything missing and signs it off.

A worked example, pieced together from typical projects. Names and details are generalised, and the figures are typical values.

AI notes from the meeting, action points and a follow-up email, saved to the client file

Starting point

  • Minutes were written up from notes, often days after the meeting.
  • Action points from meetings got stuck in notebooks and emails.
  • Clients came back asking what had been agreed and which documents were still outstanding.

Results

  • 8.3 hless routine work a week
  • 5 instead of 30 minper meeting
  • about 3 monthsuntil the implementation pays for itself

Day by day

  1. Intro call Day 0

30 minutes: how do client meetings run, what happens afterwards, and what matters when it comes to data and confidentiality?

Clarity on whether it’s worth it, and where

  2. Prototype Day 1

The next day, a first prototype turns a mock meeting into notes, action points and a follow-up email.

    Early proof instead of slides

  3. AI investment plan Weeks 1–2

We sort out templates, filing, consent and where the data is processed. We put hours and euros against every step.

A plan covering effort, savings and payback

  4. Sprint Weeks 3–4

Notes, action points and the follow-up are ready straight after the meeting and go into the client file, processed on servers in the EU.

The notes are ready before the next appointment

  5. Handover Week 5

Fine-tuning on real meetings, training for the team and a short guide to getting consent.

    Handed over for day-to-day use

  6. Sparring afterwards

Once a month, 90 minutes on what’s working, where things are stuck and what will pay off next. Then you get the monthly report.

    Optional, minimum term 6 months

Pays for itself inabout 3 months

Hourly rate: what an hour of work really costs, including holidays, sick leave and employer on-costs. Value per year: hours saved × hourly rate × 46 working weeks.

What else improved

  • Clients have the next steps in black and white, usually the same day.
  • No action point from a meeting gets lost any more.
  • In meetings, everyone can focus on the client instead of their notes.
