Worked example · Property management

How a property management company writes inspection reports in 10 minutes instead of 45.

Around 20 inspections a week, each followed by a report: describing the defects, matching up the photos, setting deadlines. Now the property manager dictates her notes into her phone on site, takes photos, and the AI writes the finished report from them in the company’s template.

A worked example, pieced together from typical projects. Names and details are generalised, and the figures are typical values.

Tools
Voice notes and photos on the phone, AI report in the company’s own template

Starting point

  • Reports were typed up at the desk in the evening, from handwritten notes.
  • Photos had to be matched to each defect by hand.
  • It often took days for a report to reach the owners and tradespeople.

Results

  • 11.7 hless routine work a week
  • 10 instead of 45 minper report
  • about 6 monthsuntil the implementation pays for itself

Day by day

  1. Intro call Day 0

30 minutes: how many inspections are there, how does a report come together today, and where does it get stuck?

Clarity on whether it’s worth it, and where

  2. Prototype Day 1

The next day, a first prototype turns a real voice note and five photos into a report in your template.

    Early proof instead of slides

  3. AI investment plan Weeks 1–2

We tag along on an inspection and look at your templates, types of defect and deadlines. We put hours and euros against every step.

A plan covering effort, savings and payback

  4. Sprint 1 Weeks 3–4

The voice note and photos become the report: defects, photos, deadlines and who’s responsible, in the company’s layout.

The first report is ready in minutes

  5. Sprint 2 Weeks 5–6

Sending reports to owners and tradespeople, defects as tasks with deadlines, and training the team.

    Handed over for day-to-day use

  6. Sparring afterwards

Once a month, 90 minutes on what’s working, where things are stuck and what will pay off next. Then you get the monthly report.

    Optional, minimum term 6 months

  • Hourly rateProperty manager€35 / h
  • Value per year€18,837
  • Implementation, 2 sprints€9,800

Pays for itself inabout 6 months

Hourly rate: what an hour of work really costs, including holidays, sick leave and employer on-costs. Value per year: hours saved × hourly rate × 46 working weeks.

What else improved

  • Reports usually go out on the day of the inspection.
  • Every defect has a photo, a deadline and someone looking after it.
  • Nobody has to spend the evening at a desk after an inspection any more.
